You can create and manage study events to designate the visits and study milestones at which surveys are assigned to respondents. You can only create, edit, and delete events for collections that are still in a draft state. By default, Assigned, Study Withdrawal, and Study Complete are events in every collection and can’t be edited or deleted.

  • Assigned: Initiated as soon as a participant in SiteVault is enabled with ePRO
  • Study Withdrawal: Initiated as soon as a participant in SiteVault is moved to the Withdrawn or Lost to Follow Up lifecycle statuses or when a date and time are manually populated for the event
  • Study Complete: Initiated as soon as a participant in SiteVault is moved to the Complete lifecycle status or when a date and time are manually populated for the event

Access a Collection’s Study Events

To view and manage study events in an ePRO collection, complete the following steps:

  1. Navigate to the collection.
  2. Select the Events tab.

From this point, you can Create, Edit, Copy, or Delete an event using steps in the sections below.

Creating a New Event

To create a new event, complete the following steps:

  1. Select Add Events.
  2. Enter an Event Name and Sequence.
    • The sequence must be a whole numeric value.
    • Events can’t share the same sequence numbers.
    • Events are automatically sorted on the page by their sequence number.
  3. If applicable, select groups from the Related Groups list to specify which subset of participants should receive this event.
    • If groups are added across multiple group types, then a group from both group types must be selected to create this event.
      • Example: An event has the “Age Range” group “5 to 10 years of age” and the “Cohort” group “Cohort A”. For a participant to receive this event, the site must select both “5 to 10 years of age” and “Cohort A” groups when enabling ePRO.
    • The system validates that the groups selected on schedules that use this event as a Start Event or End Event are also selected as groups on the event.
    • If no groups are selected on an event and the collection has groups, all groups are assigned to the event.
  4. You can define a protocol expected date for this event using the Anchor Event and Offset Days fields. Consider the following information as you add this value:
    • The Anchor Event must occur before the event you’re adding, and the Offset Days field defines how many days later the event will occur.
    • Events with protocol expected dates will be automatically scheduled to occur at the calculated time; instruct sites to update this value with actual datetimes when they know them.
  5. Select Save.

The new event is now ready to be used in a schedule.

Editing an Event

To edit an existing event, complete the following steps:

  1. Beside the name of the event you want to edit, select the Edit Event icon (Edit Event icon).
  2. Edit the information you want to change.
  3. Select Save.

Deleting an Event

To delete an existing event, complete the following steps:

  1. Beside the name of the event you want to delete, select the Delete Event icon (Delete Event icon).
  2. When the deletion confirmation appears, select Remove.
