# Setting Up Payment Information in Site Connect

If you are using [Veeva Payments](/en/lr/58941/) to track clinical trial expenses with sites, you can display payment details related to a study to site users in **Site Home > Payment Information**. Site users can view the sum of all payments that were paid up to the current date, the sum of pending payments, and the last date a payment was made. They can also search, filter, and export paid and pending payment requests and track reconciled payments. Only site users you authorize can access the _Payment Information_ section in Site Connect.

Before initiating this configuration, ensure you have completed the necessary steps to [configure](/en/lr/58930/) Veeva Payments and [set up studies for site payments](/en/lr/71912/). Also, ensure the [_Site Connect User_](/en/lr/64233/#enabling-the-site-connect-user-field) checkbox is enabled on the authorized site user's _Study Person_ record.

## Set Up Overview

  * Set the _Connected Study Type_ field to _Payment Information_ on the appropriate _Study_ record.
  * Assign the _Site Reimbursement_ Responsibility on the authorized user's _Study Person_ record. Ensure _Site Connect User_ is enabled on the authorized users' _Study Person_ record.
  * When creating _Payment Request_ records, select the _Study_, _Study Country,_ and _Study Site_ set up for Site Connect.
  * Optional: Add _Site Note_, _Site Reconciled_, and _Source_ to the _Payment Request_ record layout.

### Assigning Payment Information to a Study

Complete the following to designate a study that will use payment information in Site Connect:
1. Navigate to the _Studies_ object.
2. Select the _Study_ record you wish to use for payment information in Site Connect.
3. Click **Edit**.
4. Set the **Connect Study Type** field to **Payment Information**.
5. Click **Save**.

The study is now designated for payment information and authorized site users can view payment details in Site Connect.

### Assigning Site Reimbursement Responsibility to Site Persons

To authorize a site user to view payment information in Site Connect:
1. Navigate to the _Study Person_ record for the site user you wish to authorize.
2. Under [_Study Person Responsibilities_](/en/lr/61542/#study-person-responsibilities), click **Create**. [Add](/en/lr/26387/#add-edit-move-sections) _Study Person Responsibilities_ to the record layout if it is not already available.
3. Select **Site Reimbursement** from the **Responsibilities** picklist.
4. Click **Submit**.

The site user is now authorized to view and interact with payment information in Site Connect. This action also updates the _Responsibilities_ field on the user's _Site Home Access_ record to _Site Reimbursements_.

### Displaying Payments for Site Connect Studies

Once the above steps are completed, Vault displays payment requests in Site Connect if the _Payment Request_ is in the _In Review_ or _Approved_ lifecycle state (displayed as _Pending_ in Site Connect) or the _Completed_ lifecycle state (dispalyed as _Paid_ in Site Connect).

The following details are displayed in Site Connect for _Payment Requests_ and _Payable Items_:
* **Payment Request**: _Payment ID_, _Amount_, _Source_, _Voucher Posting Date_ (shows as _Paid Date_), _Payment Letter_
* **Payable Item**: _Item ID_, _Amount_, _Item Name_, _Subject_, _Payable Event Date_
  
You can add a _Site Note_, _Site Reconciled_, and _Source_ field to the _Payment Request_ record layout. The _Site Note_ and _Site Reconciled_ fields display a value only if the site user added a note to the payment request or marked the request as reconciled in Site Connect. Use the _Source_ field to designate whether the payment request originates from a site invoice or the Sponsor/CRO.
